School Admissions 2026–27: The Enquiry Playbook Punjab Schools Use Too Late
Every year the same story: enquiries pour in during December, and by March half of them are still buried in a paper diary. Registrations for the 2026–27 session open in Dec–Jan — this article is the checklist to finish before that. Close the paper diary, open a simple pipeline.
Where admissions actually leak
Visiting 20+ school offices, the leaks are always the same three:
- No source tracking. Nobody knows whether an enquiry came from a banner, a reference or WhatsApp — so nobody knows where to spend next year's budget.
- No follow-up date. "The parent will visit next week" gets written in the diary, but no reminder ever reaches anyone.
- Slow fee quotes. A parent asks for the fees, the answer goes out three days later. By then they have already taken admission in another school.
Schools that fix just these three typically convert 20–30% more enquiries with the same footfall. No extra ads needed.
The 5-stage enquiry pipeline
| Stage | What it means | Who owns it |
|---|---|---|
| 1. New enquiry | Name, class, phone, source logged same day | Front office |
| 2. Campus visit done | Parent saw school, fee structure shared | Counsellor |
| 3. Fee quote sent | Written quote on WhatsApp with instalments | Accounts |
| 4. Documents pending | Birth certificate, TC, photos checklist | Office |
| 5. Confirmed / lost | Admission done OR reason noted (fees? distance? board?) | Principal review |
Rule: no enquiry sits without a next-follow-up date. Lost reasons matter — if 15 parents walked away over fees, you need an instalment plan, not more ads.
Follow-up SLA that works
- First response: same day, ideally 2 hours. Keep a WhatsApp template ready — school timings, fee range, visit slot.
- After campus visit: 48 hours. A "how did you like the campus?" call plus the fee quote. This single call converts the most.
- Max 3 follow-ups, then pause. A fourth call annoys parents. One polite reminder after a month is enough.
- Every follow-up logged. Who spoke, what was said — so any staff member can pick up the conversation next time.
Fee quote mistakes that kill conversion
- Verbal quotes ("around thirty thousand") — parents cannot compare, and trust never builds. Send a written quote every time.
- Hiding the instalment option — for many families in Haryana and Punjab, 2–3 instalments are the actual decision-maker.
- Leaving sibling discounts, transport slabs and late-fee rules unclear on day one — they turn into disputes in April.
What your ERP must track
This is exactly where the diary loses. During admission season, an ERP is not about report cards — it is an enquiry register:
- Enquiry with source (banner / reference / WhatsApp / walk-in)
- Follow-up date with automatic reminder to staff
- Fee quote generation + WhatsApp send in one click
- Visit-to-admission conversion report, source-wise
- Class-wise seat fill status (LKG full? Class 6 me jagah?)

December checklist — do this now
- Pull out last year's enquiry list — how many converted, how many were lost, and why? Send the lost parents one "admissions open" WhatsApp message. It is the cheapest admission channel you have.
- Freeze the 2026–27 fee structure: heads, instalments, sibling rules, transport slabs.
- Walk the front office through the pipeline and the SLA. Every enquiry gets a same-day entry in one register (or ERP) — no exceptions.
- Check your city pages — parents search Google for "school ERP / admission + their city". Our pages: School ERP overview, Kharar, Mohali, Ludhiana, Patiala, Amritsar, Chandigarh, Hisar, Sirsa.
- Book the demo season now — ERP setup in November, staff trained in December, enquiries in the system by January. Schools that start setup in March regret it in April.
